Administrative Assistant - Operations (m/f)

The Role
We are looking for an Administrative Assistant to join our Operations team in Zagreb, Croatia. This person will be responsible for offering support in the operational and tactical elements of Finances, HR, and Office Management. This role will be working in line with the rest of the team adding value to our employees and business in Croatia and abroad.

Responsibilities
Administrative Assistant’s responsibilities include:

Finances
            •           Recording, archiving and processing incoming invoices as well as managing communication with suppliers
            •           Preparing documents for accounting (expense and travel reports)
            •           Ensuring company policies and procedures are being followed at all times
 
HR
            •           Owning the operation of the monthly payroll processes
            •           Keeping and organizing employee records
            •           Ensuring the organisation complies to all legal requirements and policies at all times
 
Office Management
            •           Overseeing general office operations: mailing, shipping, ordering, and receiving deliveries
            •           Managing financial, legal, HR, and project documentation and archives
            •           Procurement of office supplies and equipment (from chairs to laptops and everything in between)
            •           Delivering new employee onboarding pack
            •           Organizing business trips and company events
 
 
Requirements
Basic
            •           Previous administrative experience
            •           Passion for keeping things organized, updated and in compliance with rules and regulations
            •           Diligent person, with an eye for details
            •           The ability to react to unexpected situations, multitask successfully and calmly
            •           Fluency in spoken and written English
            •           The ability to handle confidential information
Bonus Points
            •           Driver’s licence
            •           Previous startup experience
            •           Past experience on similar projects where relevant skills have been developed or applied
